Privacy policy

1. Who we are

IngeniumZ Technology Limited is the controller of the personal information described in this policy. We are a company registered in England and Wales, company number 14391788, with our registered office at 15 Lansdowne Avenue, Maidstone, England, ME15 9DL.

For anything about this policy or your information, email info@ingeniumz.com. We have not appointed a Data Protection Officer; that address reaches the people responsible.

2. What this policy covers

This policy covers personal information we collect through:

It does not cover call recordings or other data processed by the TrueVoice product for our clients. That processing runs on each client's own infrastructure under their instructions: the client is the controller, and our agreement with them governs it.

3. The information we collect

When you email us

Your name, your email address, and anything you choose to include in your message.

When you request a TrueVoice pilot

The pilot request form on truevoice.ingeniumz.com asks for:

  • Required: your name, company, and work email address.
  • Optional: your phone number, the size of your call centre, and what you would like TrueVoice to check.

You don't have to give us any of this, but we need at least a way to contact you in order to reply.

When you visit our websites

Like any website, ours receive technical information with each request: your IP address, browser and device type, the page requested, and the time. Our hosting provider processes this to deliver the pages and to protect the sites against abuse.

What we don't do

Our websites set no cookies and use no analytics, advertising or tracking tools. Our fonts are served from our own site, so visiting doesn't send your details to a font provider. We don't buy personal information from third parties.

4. How we use it, and why we're allowed to

Where we rely on legitimate interests, we have weighed them against your rights, and you can object at any time (see section 9). We don't make decisions about you based solely on automated processing, and we don't send marketing you haven't asked for.

5. Who we share it with

We use a small number of service providers who process information on our behalf, under contract, and only on our instructions:

We never sell personal information. We will only disclose it otherwise if the law requires us to, or to protect our legal rights.

6. Transfers outside the UK

Some of our providers are based in, or use infrastructure in, the United States and other countries outside the UK. Where information is transferred outside the UK, we rely on safeguards recognised under UK data protection law — such as the UK Extension to the EU–US Data Privacy Framework, or the International Data Transfer Agreement or Addendum. Email us if you would like details.

7. How long we keep it

  • Enquiries that don't lead to business — deleted within 12 months of our last contact with you.
  • If you or your organisation become a client — kept for as long as we work together, and afterwards for as long as the law requires, for example six years for financial records.
  • Website technical data — held by our hosting provider only for the limited period it needs for operation and security.

8. How we protect it

Both websites are served over encrypted connections (HTTPS). Access to enquiries is limited to the people who need it to reply to you, and our providers are bound by contract to protect the information they process for us.

9. Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct anything that is inaccurate or incomplete;
  • delete it;
  • restrict how we use it; and
  • stop using it — you can object to processing based on legitimate interests at any time.

Email info@ingeniumz.com. There is no charge, and we will respond within one month. We may need to confirm your identity first.

10. Complaints

If you're unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK data protection regulator: ico.org.uk/make-a-complaint, or call 0303 123 1113.

11. Changes to this policy

We will update this page if the way we handle personal information changes, and change the date at the top. Significant changes will be made clear on this page.
